Privacy Policy

ReadyWhen is operated by Common Strata, LLC ("Common Strata," "ReadyWhen," "we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, and protect personal information when people use ReadyWhen websites, applications, scheduling pages, communications, and related services (collectively, the "Service").

1. Who This Policy Covers

This Policy applies to hosts who create or manage ReadyWhen accounts, invitees who use ReadyWhen scheduling links, visitors to ReadyWhen websites, and people who contact us for support, security, legal, or operational reasons.

If a host uses ReadyWhen to collect information from invitees, the host may also have its own privacy obligations. ReadyWhen processes invitee information to provide the Service to the host and invitee.

2. Information We Collect

Account and profile information

We may collect information a host provides when creating or managing an account, such as name, email address, authentication metadata, profile photo or avatar, public booking slug, timezone, language preference, public profile copy, organization affiliation, role, and account settings.

Scheduling and booking information

We may collect information needed to operate scheduling links, such as event type names, descriptions, durations, meeting location choices, availability rules, selected timezone, booking status, meeting start and end times, booking history, cancellation or rescheduling metadata, and related operational records.

When invitees use ReadyWhen, we may collect information they provide to book or participate in a meeting, such as name, email address, timezone, selected time, responses to host-configured booking questions, meeting notes the invitee chooses to provide, and communication preferences.

Hosts are responsible for deciding what information to request from invitees and for complying with laws, professional duties, and privacy obligations that apply to their own use. ReadyWhen does not currently market itself as HIPAA, SOC 2, FedRAMP, or other regulated-compliance-ready software.

Calendar and integration information

If a host connects a calendar or other third-party integration, we may process connection metadata, provider account identifiers, calendar list metadata, selected calendars, free/busy availability, token status, reconnect state, provider-safe error codes, and the minimum information needed to create or update ReadyWhen-related calendar events when supported.

ReadyWhen is designed not to expose private external calendar event details to invitees. Invitees need available times and meeting details, not private host calendar titles, descriptions, attendee lists, locations, or provider payloads.

Communications, billing, device data, and cookies

We may collect information from emails, support requests, feedback, forms, security reports, and other communications with us. ReadyWhen is currently expected to launch as a free soft-launch product, with paid tiers planned. If ReadyWhen offers paid plans, paid events, or billing features, we may collect plan, subscription, entitlement, invoice, payment status, and provider-reference metadata. Payment card or bank details should be handled by payment providers rather than stored directly by ReadyWhen.

We may collect technical information such as IP address, device and browser type, operating system, pages viewed, referring pages, timestamps, approximate location derived from IP address, logs, diagnostic events, cookie identifiers, session metadata, rate-limit records, and security/audit events. We may use cookies, local storage, pixels, or similar technologies for login, security, preferences, product analytics, debugging, and site performance. We do not currently intend to use cross-context behavioral advertising.

3. Sources of Information

We collect information directly from hosts, invitees, visitors, and people who contact us; automatically when people use the Service; from connected calendar, identity, payment, communications, hosting, analytics, security, and other service providers; from organizations or teammates that administer or invite users to ReadyWhen; and from publicly available sources where appropriate for support, abuse prevention, security, or business operations.

4. How We Use Information

  • Provide, maintain, secure, and improve the Service.
  • Create accounts and authenticate users.
  • Display public scheduling pages and host-approved profiles.
  • Generate candidate meeting times and process scheduling flows.
  • Send confirmations, reminders, account notices, and support replies.
  • Connect, sync, diagnose, and operate calendar integrations.
  • Monitor reliability, usage, abuse, fraud, and security.
  • Develop features and improve onboarding.
  • Manage billing and payments when applicable.
  • Comply with legal obligations and enforce our terms.

5. How We Disclose Information

We may disclose personal information to service providers and subprocessors; to hosts and invitees as necessary to complete scheduling workflows; to organizations, teams, or administrators that manage a ReadyWhen workspace or account; to connected third-party services when authorized; to comply with law; to protect against fraud, abuse, security threats, or harmful activity; in connection with a business transaction; or with consent.

We do not sell personal information for money. We do not knowingly share personal information for cross-context behavioral advertising in this launch posture.

6. Calendar Privacy

Calendar privacy is central to ReadyWhen. When hosts connect a calendar, the Service should use the least information needed to determine availability and operate ReadyWhen-created meetings. Invitees should receive available time options and meeting details they need, not private host calendar contents.

7. Data Retention

We keep personal information for as long as reasonably necessary to provide the Service, operate accounts, comply with legal obligations, resolve disputes, enforce agreements, prevent abuse, maintain security, and support legitimate business needs. We may retain certain information after an account deletion request where reasonably necessary for legal compliance, security, fraud prevention, accounting, backup integrity, dispute resolution, or legitimate business operations.

8. Security

We use administrative, technical, and organizational safeguards designed to protect personal information. No internet service can guarantee perfect security. Users are responsible for keeping their account credentials secure and for promptly notifying us of suspected unauthorized access.

9. Privacy Choices and Rights

Depending on where a person lives, they may have rights to request access, correction, deletion, portability, restriction, objection, or opt-out of certain processing. Requests can be sent to legal@readysetwhen.com. We may need to verify the requester's identity and authority before responding.

Account deletion requests can be sent by email. Invitees who want to access or delete information submitted through ReadyWhen may contact ReadyWhen, the host, or both, depending on the context.

10. California Privacy Notice

California residents may have rights to know, delete, correct, opt out of sale or sharing, limit certain sensitive personal information uses, and avoid discrimination for exercising those rights. Requests can be sent to legal@readysetwhen.com. ReadyWhen does not knowingly sell personal information or share it for cross-context behavioral advertising.

11. International Visitors

ReadyWhen is operated from the United States. If people access the Service from outside the United States, their information may be processed in the United States or other countries where we or our service providers operate.

12. Children

ReadyWhen accounts are intended for users who are at least 18 years old. ReadyWhen is not directed to children, and we do not knowingly collect personal information from children under 13.

13. Changes to This Policy

We may update this Policy from time to time. If changes are material, we will provide notice as required by law or appropriate for the Service.
